WHAT PERSONAL DATA WE COLLECT AND WHY WE COLLECT IT

When you buy something

When you purchase products from us we collect your name, billing and shipping address, email address & phone number so that we can send you the products that you have bought, or get in touch if we require further information from you.

We also collect transaction data using our payment provider, Stripe. This includes Apple Pay, Google Pay, and Credit Card data which is fully encrypted so we cannot see payment details like your card or account number.

We collect and store information about your order history with us so that we can help resolve customer support queries if you contact us about your order, and to help us provide loyalty rewards to customers who regularly shop with us. Our legal basis for this is Legitimate Interests.

We work with carefully selected partners to improve our website experience and help us process and ship your orders. These include: MiniBC, ShipperHQ, Netsuite, Be A Part Of, Superfantastic, Ebizio (Intuit), BigCommerce, Royal Mail.

When we email you

Signing up to our email list is a great way to stay up to date with new coffees, competitions and stories from the roastery. We send a couple of emails each week and you get 30% off your first order when you sign up. You can sign up to our emails here, and can, of course, unsubscribe at any time by contacting us at hello@extractcoffee.co.uk.

When you sign up to our mailing list we collect your name and email address and information about how you interact with your email, so we can improve our emails and make them more interesting to you.

If you unsubscribe from our email, we store your details on a suppression list which ensures you do not receive emails from us again. Our legal basis for this is consent.

When you use our website

When you are browsing our site, we collect anonymous user information about the sites you have come from and how you use the site. This helps us improve the usability of our website and understand the effectiveness of our marketing and advertising channels. The legal basis for this is consent.

If at any point we provide links to external websites, we ask you to remember that we are not responsible for any of the content or for the protection of any personal information given whilst visiting these sites.

When you fill our a form

WHO WE SHARE YOUR DATA WITH

The ICO (Information Commissioner's Office) class Extract Coffee Roasters as a data controller. As the data controller, Extract Coffee Roasters can determine the purposes and means of the processing of your personal data.

We use the services of third party organisations to process your personal data securely. For example, taking payments or sending emails. Where your data is processed by any third party on behalf of us, that third party is a processor under the GDPR. We take steps to ensure that this data is processed lawfully under the law in accordance with each agreement that we have in place with each processor.

  • When you purchase a product from us, we share your data with our payment providers, Stripe and Paypal. Your data is stored by our e-commerce provider, BigCommerce and our ERP system, Netsuite.
  • We use Typeform and Formlets to create surveys and feedback forms. These services will collect your response data.
  • We use Mailchimp to build our emails and manage our email lists. As part of this the information you provide when you sign up to our mailing list is shared with this system. We also share information on purchase history so we can manage our loyalty programme.
  • Video content is hosted on and embedded from Vimeo. The data they collect will be the same as any data collected when watching videos on their site.
  • Address details will be shared with outr shipping partners. These include: Royal Mail, DPD, DX Delivery.

HOW LONG WE KEEP YOUR DATA

For users that register on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
